Tips for sending & receiving mail

campus envelopesCampus mail is mail sent from agency to agency through the state mail system.  The delivery area includes the I 5 corridor from Marysville to Vancouver, and encompasses the area from Aberdeen/Hoquiam on the Pacific Ocean shoreline to Enumclaw on the western slopes of the Cascade Mountains. 

We service more than 600 locations in the Olympia, Lacey, Tumwater, and Capitol Campus area from 6 a.m. to 5 p.m., Monday through Friday.  We also maintain a limited pickup and delivery schedule on Saturdays and Sundays during the Legislative session.  See the Distribution Map for details.

We are committed to next day delivery of campus mail. Mail received by 5 p.m. will be delivered by 5 p.m. on the next scheduled delivery day.  Upon request, we will provide a scheduled same-day delivery.  Contact customer service for details.

 

Recycled mailing supplies (Department of Information Services boxes and plastic bags, campus envelopes, rubber bands, etc.) can be ordered free of charge.

 

Using campus mail service

The following guidelines will ensure efficient campus mail service:

  • Designate the same location for mail delivery and pick-up if possible
  • Have mail ready 15 minutes prior to scheduled pick up times
  • Address and package envelopes and cartons properly
  • Break larger parcels into smaller cartons if heavier than the 70 pounds
  • Make prior arrangements for unusually large mailings or shipping of hazardous materials (this must comply with all state and federal requirements).  Contact us for details.

Incoming mail

Note:  State employees are prohibited from using the state mail system for personal mail, including mail order and catalog items.

photo of envelopesWe provide same-day delivery of all properly addressed small packages and letters received from the U.S. Postal Service (USPS).  We pick up incoming mail to the 98504 zip code in bulk from the Olympia post office, then sort it to more than 900 PO Boxes that serve over 54,000 employees.  Agencies can reduce incoming mail costs and speed processing by following these guidelines: 

  • Remove staff names from bulk mail lists when possible
  • Update outgoing correspondence with current addresses including PO Box and 98504 zip code +4
  • Communicate the correct mailing address to your customers including the agency, PO Box, and 98504 Zip Code
  • Mail can be delayed when the incorrect address is used. Contact the sender and provide correct address information whenever mail is received with an incorrect address
  • Use the street address to receive items through carriers such as UPS, FedEx, and DHL
