Vehicle maintenance services

The State Motor Pool in Olympia provides repair services for state owned vehicles to include, but not limited to:

  • Tune – ups
  • Lube oil & filter changes
  • Brake service
  • Suspension and drive train component replacement
  • Engine diagnostic analysis
  • Tire mounting and balance
  • Safety inspections
  • Emissions testing
  • Electrical repairs

Repair/Service Authorization & Invoicing Requirements (See: 46.71 RCW)

  • Drivers may approve maintenance/services under $100.00.
  • All repairs and services $100 and over must be approved in advance by the State Motor Pool and assigned an authorization number. Any changes in estimates must also be approved.
  • Voyager fuel cards are not to be used for service or maintenance (See Voyager Fuel Credit Card).
  • Invoices must include: license number, description of service/maintenance, driver signature, and sales tax. If $100.00 or over, also include the assigned authorization number.
  • All original invoices received by drivers must to be sent to the Motor Pool for processing.

24-hr roadside assistance program

The State Motor Pool 24-hour roadside assistance program will provide service for vehicles with "M" license plates only.

For new vehicles, if they are still within the manufacturer's 3-year, 36,000-mile warranty, please use their free roadside service. Information to contact them is in the vehicles' owner manual or glove box.

Fueling options


Voyager fuel credit card

The Motor Pool Voyager Fuel Credit Card program is a convenience for our customers. The Voyager Card eliminates the need to complete the transaction inside by using the card reader option at the pump, and is accepted at over 142,000 vendors nationwide.

Please note that the following conditions apply to the use of the Voyager Card:

  1. Purchases must be done manually inside at stations not equipped with card readers at the fuel islands. Please take this into consideration when choosing a station.
  2. The Voyager card may be used for car washes. Motor Pool rates are set for 12 washes per vehicle, per year. Emergency repairs only such as wiper blades, oil, light bulbs, are permitted. Voyager is not to be used for repair services. (See "Maintenance Services" section).
  3. The only fuel authorized by the Motor Pool is "Regular Unleaded".
  4. If a Voyager card is lost contact your Agency Transportation Officer (ATO), who will then contact the Motor Pool. When reported to Voyager, their computer system automatically cancels the lost card and generates a new card, which will be received within 7-10 working days at the Motor Pool.
  5. All replacement cards will be sent directly to the ATO.
  6. At this time Voyager is not accepted in Canada.

Instructions for Using the Voyager Fuel Credit Card

Swipe your card at the card reader. If the sale is processed manually, write the PIN# & Odometer reading on the ticket. If your card cannot be read electronically at any location, it is likely that the magnetic strip is damaged. Report this to your Agency Transportation Officer immediately for reissue.

  1. If the pump terminal requires you to choose either "Credit" or "Debit", press the "Credit" key.
  2. If required, the terminal may prompt for an ID or PIN number. Enter your assigned number and press enter.
  3. You will also be prompted to enter the "Odometer" reading. Enter your odometer as a whole number. Do not enter tenths of miles.
  4. If the attendant has any questions, provide them with the toll-free number (1-800-987-6591) on the back of the Voyager card, or in the brochure in the glove box, for assistance in processing the transaction.

Department of Transportation (DOT) Fuel Card

There is a red DOT fuel card in each Motor Pool vehicle. This added benefit for our motor pool drivers was made available through an informal agreement with DOT. The card’s use is similar to Voyager’s with a programmed magnetic strip to swipe at DOT facility pumps and requires a PIN number.
