Purchase fuel
The following fueling options are available for fleet operations cars:
Department of Transportation (DOT) Fuel Card
Each vehicle is equipped with a red DOT fuel card. The
card can be used at DOT facility pumps by swiping the magnetic
strip then entering a personal identification number (PIN) - the
last four digits of the vehicle license number. See
Fuel station locations
for a list of stations.
Comdata Fuel Card
Comdata fuel cards can be used for certain services:
- Purchase regular unleaded gas
- Can only be used at the pump
- PIN number (last six digits of your HRMS number) is required
- If prompted for a zip code, use 98504
- Odometer reading is required
- Fleet Rescue Road Service will accept these cards for emergency roadside assistance.
- Car washes if the car wash is located at a fuel station. You must pump fuel first in order to purchase a car wash.
Fuel cards must be kept secured at all times, but should not be stored in the vehicle. If a fuel card is lost, contact your Agency Transportation Officer.
If you have a problem with the fuel card, call phone number on
the blue card holder key ring.
Get 24-hr roadside assistance
Call Fleet Rescue Service at 1-800-226-3860 and provide:
- Comdata Card number and expiration date (charges are billed to the Comdata card so no invoice is necessary)
- Vehicle description – year, make, model, and license plate (check registration in glove box if unsure)
- Exact location of vehicle – street address, cross street or off ramp
- Phone number from which you are calling
If Fleet Rescue is unable to get the vehicle running have them tow the vehicle...
- To the Olympia Fleet Operations Fones Road facility if you are in Thurston County.
- To the nearest repair facility or dealership if you are outside Thurston County (see vendor list in glove box), and also call Fleet Operations the next business day for further instructions.
24-hour roadside assistance is available for vehicles with "M" plates. In all cases, be sure to contact fleet operations at 1-800-542-6840 as soon as possible. Leave a message if beyond business hours.
Report an accident
What do I do in the event of an accident?
- Render first aid if necessary: call for medical assistance if needed
- Report accident to local police
- If vehicle needs to be removed from roadway call Fleet Rescue Road Service 1-800-226-3860 (in glove box)
- Obtain needed information from other driver(s)
- Fill out the accident report located in the
CEI brochure
(in glove box) - Call CEI at 1-877-443-5777
- Notify Fleet Operations as soon as possible
- Follow your internal agency accident policy--there may
be additional requirements for your agency
A third party was involved in an accident. Their insurance company or the driver keeps calling me. What information should I provide?
- Third parties or their insurance representative should be
referred to the Department of Enterprise Service (DES), Office
of Risk Management at (360) 407-8178. They will respond
to inquiries or handle tort claims. See our
contact page for details.
I had a minor accident and there is no visible damage to my state vehicle. Do I still need to report it?
- Yes. Any type of accident needs to be reported by
filling out the accident report located in the CEI brochure.
Also follow your internal agency accident policy. There have
been many times when a driver doesn’t see any exterior
damage but may have unseen damages.
If my vehicle was vandalized, tires stolen or slashed, or windows broken do I need to fill out a CEI form accident report, even though it wasn’t an accident?
- Please call Fleet Operations at 1-800-542-6840.
Can I get another vehicle while mine is being repaired?
- If within Thurston County call Fleet Operations reservations
(360) 438-8235 link and inform them of the situation and a
loaner will be issued. If outside Thurston County call Fleet
Operations at 1-800-542-6840 to find the location of the
nearest loaner vehicle.
