Create New Request

Overview
New requests can be created to surplus standard (computer equipment, tools, furniture, office equipment, etc.) and vehicle( sedans, trucks, heavy equipment, boats, etc.) items.

Access
From the Main Menu, select Standard or Vehicles, Trailer or Heavy Equipment under Create New Requests

New Standard Request

From the Main Menu, select Standard under Create New Requests.

New Standard Request Screen:

  1. Complete require fields for Agency Authority #, Property Contact and Location information. Required fields are denoted with an asterisk.
  2. Add line items by entering data for required fields and clicking "Add" button or "Enter" key.

The line item data will now appear below the area for entering line items.

Tips for entering line items:

  1. Use TAB key to move from field to field.
  2. Dropdown list selections can be made by pressing the first letter of the category or sub-category you wish to select. 
    All selections for a particular letter will appear by continuing to press the letter.   Example: After selecting the Category of Computer Equipment, by continuing to press the "M" key, Misc., Modem, Mouse and Monitor will display.
  3. The Enter key can be used to Add the line item once all required and desired fields have been completed.

Line items can be edited or deleted at any time by clicking the edit button for a specific line item.

New Vehicle Request

From the Main Menu, select Vehicles, Trailers, Heavy Equipment  under Create New Requests.

New Vehicle Request Screen:
 

  1. Complete require fields for Agency Authority #, Property Contact and Location information. Required fields are denoted with an asterisk.
  2. To complete request and submit for agency approval, click "Review/Submit".
  The following screen will appear for reviewing the request.  Other options include Cancel Request and Save as Draft.

 

Requests For Agency Use Only

Requests can be created for use within that agency or organization.  Requests that are "Agency Use Only"  will not be submitted or visible to GA Surplus Programs.

To create an Agency Use Only request.  Enter information for all required fields and select the "Yes" radio button after Agency Use Only. 
Complete the Standard or Vehicle request as you would any other request that is submitted for approval to GA Surplus Programs.


Reviewing Agency Use Only requests

Requests that have been submitted for Agency Use only will not have a GA Authority number assigned to the request.  Instead, ** Agency Use Only **" will appear in the GA Authority # field.

 

At the bottom of the review screen for Agency Use Only request, sections for Agency Disposal Certification and Action By Inventory Control are available for documenting and disposing of items within the agency.  The request can be printed and routed as necessary within the agency to completed the disposal process.

Note:  Signatures and other information under the Agency Disposal Certification and Action By Inventory Control are not stored within the Property Disposal System.  Please make any need copies and file documents according to you agency policies and procedures.
